Start with the stay and the collector
Booking dates, stay dates, room charges, cancellations and refunds should connect to platform settlements and bank deposits. The records must distinguish tax collected directly from tax handled by a platform. A reduced payout does not establish that every filing obligation has been completed.
Toronto MAT returned to 6% for stays beginning August 1, 2026, after the temporary 8.5% period ended July 31. The ledger needs the relevant stay date and rate, especially when a payout combines bookings across the change. HST treatment is considered separately.
Match the reporting process to the operator
Hotels and registered short-term rental operators use different City reporting schedules. We identify the operator category and account details before preparing a tax summary. Licence or registration renewal records, owner use and supporting exemption documents should also remain accessible; bookkeeping does not establish permission to offer the accommodation.
Illustrative example: a payout crosses the MAT change
A Toronto operator receives one August payout that includes a July stay, an August stay and a cancellation. Assigning one MAT rate to the deposit would lose the transaction history. A stay-level schedule preserves the original charge, applicable rate and refund so the preparer can reconcile the report correctly.
